The call starts with everything the office needs
Plenty of scheduling calls drag on because the caller isn't ready. They’re digging for an insurance card or navigating family and work schedules that live across multiple calendars.
With QRM Connect, by the time the agent dials, the member has already indicated availability, provider preferences and backup providers. The agent has the member's identifying and plan information along with the time windows that work for them and purpose of the visit. When the front desk offers an opening inside those windows, the agent accepts it on the spot. Nobody has to call anybody back.

How does the AI agent talk to front desk staff?
The agent talks with front desk staff in plain, conversational language. It answers follow-up questions and adapts when the office asks for information in a different order than expected. It can also speak languages other than English, which helps in practices where the staff and patients mostly speak Spanish or another language.
At the start of the call, the agent introduces itself as an automated scheduling assistant. Every call is recorded and automatically transcribed. If an office ever raises a concern about how a call went, there’s documentation to support resolution and continuous call improvement.
How does an AI scheduling call end?
Every call ends one of four ways, and each one has a defined next step.
- The appointment is booked. The front desk offers a time inside the member's window, the agent accepts it and confirms the details before hanging up. The member gets a confirmation right away.
- No opening fits the member's window. If the office can't see the member within the times they gave, the agent thanks the staff and ends the call. It then calls the backup provider the member chose at the start.
- The office isn't taking new patients. Schedules fill up, and some practices close to new patients for months. The agent doesn't push. It thanks the office, ends the call and moves to the member's backup provider.
- The office asks something the agent can't answer. This is rare. The agent comes to every call with the member's identifying details, insurance and availability, which covers what front desks typically need to book. If a question falls outside that, the agent ends the call politely, and the member gets a follow-up asking them to call the office directly.
If the backup providers can't fit the member in either, or the member didn't name one, the member is notified. They can pick a new provider, offer different times, get help from a call center agent or call an office on their own.
This is an example flow. Each health plan configures QRM Connect for its own program, including the criteria for ending a call or handing off to the patient or a live agent.
Nothing to integrate, nothing to learn
Most scheduling technology asks providers to do something first, whether that's connecting their EHR or managing a new inbox of online requests. These solutions require longer implementation timelines and change management for office staff that creates more friction before it alleviates any pain points.
